Case study: 3 Provider Physician Group

The Situation

A three provider Physician Group in Cleveland, Ohio knew they needed to do something about their paper patient charts.

"Our files were consuming the office. Our storage unit was full, and the files in there may as well have been lost altogether!" explained the practice administrator. "We aren't ready to do anything with our active patient files, but let's start with those that we haven't seen in the last year."

The Challenges

The Solution

National Scanning worked with the practice to get the files ready for scanning (we offered to send someone to help pack the files, but she had it under control). Once they were packed and cataloged, we picked them up and brought them to our local regional processing center.

Each chart was reviewed, scanned in high resolution to pdf, and output to a searchable DVD. The roughly 10,000 charts were completed in less than two weeks.

The Outcome

"With the old files out of the way, our current files are so much easier to find!" wrote the practice administrator after the project was completed. Their file storage costs have been eliminated, finding old charts is now possible without a trip to the storage unit, and their practice is now working with National Scanning to transition to an EMR system suitable for their practice.
